Editing Data in Excel

Editing Data:

The process of modifying existing data is called editing. The editing I excel is very easy. The values in worksheet can be edited in formula bar or the cell. and The cell must be the active cell to be edite.

The following procedure is use to bring the active cell in edit mode

  • Double click on the cell whose data is to be edited. OR.
  • Click once on the formula bar. OR press F2.

Deleting the contents of a cell

The following procedure is use to delete the contents of a cell

  • Click on the cell to be cleared.
  • Press Delete or Backspace.
  • If backspace is pressed, press Enter to confirm the empty cell.

Deleting contents using Mouse:

The following procedure is use to delete the contents of a cell with mouse

  • Right click on the cell to be cleared. A shortcut menu will appear.
  • Click on clear contents.

Deleting the contents of a range of cells

The following procedure is use to delete the contents of a range of cells

  • Click on the first cell of the range.
  • Move the pointer to the center of cell. It will change into a solid white plus (+) sign.
  • Click again on the cell and drag the mouse across the range to highlight the entire cell.
  • Release the mouse button.
  • Press Delete to delete the contents.

Copying cell contents:

Different methods of copying cell contents are as follows:

Copying Data with Drag and Drop

The following procedure is use to copy data with drag and drop

  • Select a cell or the range of cell to copy.
  • Move the mouse to be border of the selected cell(s). It changes to an arrow pointer.
  • lick left mouse button and hold down CTRL key. A tiny plus (+) sign will appear next to pointer.
  • Drag the pointer across the worksheet to the desired location to past the cell contents.
  • Release the mouse button. The entire selection will be copied to new location.

Copying data using menu:

The following procedure is use to copy data using menu

  • Select the cell or range of cells to copy.
  • Select Edit > copy OR press CRTL+C or click on copy button on standard toolbar.
  • Select the new cell in which data paste
  • Select Edit > past OR press CTRL +V OR click on paste button on standard toolbar. The contents of source cell or range of cells will appear in destination cell or range of cells.

Copy and Enter Method to copy cell Contents:  

The following procedure is use to copy cell contents with copy and enter method.

  • Select the cell or range of cells to copy.
  • Select edit >copy OR press CTRL+C or click on copy button on standard toolbar.
  • Move to destination cell and Press Enter key.

Moving Cell contents:

There are different methods of moving cell contents.

Moving data wit drag and drop

And There are different methods is use to move data with drag and drop

  • Select a cell or range to move.
  • Move the mouse to the border of the selected cell. It changes to an arrow pointer.
  • Press and hold the mouse button. Drag the pointer to the desired location to move the cell’s contents.
  • Release he mouse and the contents of the cell or range of cells will be move there.

Moving Data using Shortcut menu:

The following procedure is use to move data using shortcut menu:

  • Select the cell or range of cells to copy.
  • Right click the mouse anywhere in the selection. A short cut menu will appear.
  • Choose cut from the shortcut menu.
  • Move mouse pointer to destination cell and right click again to display the shortcut menu.
  • Choose paste from shortcut menu.

Moving Data with Edit Menu:

  • Select the cell or cells to move.
  • Select Edit > cut or press CTRL +X or click on cut button on standard toolbar.
  • Choose the new cell in the same worksheet or another worksheet or workbook.
  • Select Edit > Paste or CTRL+V or click on paste button on standard toolbar.

The contents of source cell will appear in destination cell.
